Who are MedAxis customers?
Hospitals, clinics and individual physician practices. We process over 250,000 lines, or 20,000 minutes, of dictation per day. We accept digital voice files from any telecommunication network in North America.

How Does MedAxis handle transcribed documents?
All dictation is captured in our central data center where it is prepared, managed and routed. From there files are distributed, based on priority and difficulty, to a network of highly skilled, company-employed, medical language specialists. MedAxis assigns the most appropriate transcriptionists to each customer, to meet volume fluctuations and ensure that turnaround requirements are met.

How do MedAxis transcription process work?
MedAxis Transcriptionist - medical language specialists convert physicians' voice recordings into electronic medical record documents using our Web-based, secure transcription platform. Physicians may dictate from several dictation products on the market (including new handheld devices) or any phone (including hospital- or clinic-based transcription stations, an office- or home-based land line). Dictated information is securely captured in a digital format in our voice Data Center. MedAxis transcriptionists access these files over the Internet and transcribe the recorded voice to create electronic documents, which are then relayed to our secure Data Center over the Internet. The documents may then be accessed by remote quality assurance personnel, and are then automatically delivered to the healthcare provider. Typically, documents are produced and delivered in less than 24 hours of a physician’s dictation, with STAT requests having a significantly faster turnaround time.

How is MedAxis data center maintained?
MedAxis maintains one centralized data center for all our transcription activities. This fully integrated, redundant and scalable facility allows us to provide implementation and processing capacity to accommodate customers of any size and scope.

Do you subcontract your services?
No. All of our sales group, transcriptionists, editors, I.T. and software are MedAxis associates.

Can you retain client files?
Yes, MedAxis can retain all voice and transcribed files in our database. Clients may make arrangements for storage sizes available.

Do you provide quality assurance?
Yes. MedAxis provides only the outmost quality assurance service. Our staff is proactive in providing Quality Control reviews of all transcription work prior to its return to the customer. In addition, we constantly monitor the quality of our processes and procedures.

Can I dictate from a cell phone?
Yes - Absolutely.
Any touch-tone capable cell phone that can access the 1-800 number provided by your contract will allow complete capture of voice data. Of course voice quality is dependent on line quality. You will be notified if voice quality needs adjustment for transcription.


Can I listen to my recording after I complete my dictation?
Yes. After uploading the recorded voice files into our Voice Data Center, any user with MedAxis validated access control via password, may view and listen to reports. Additionally, the user may, at anytime, check reports for online status of sent, received, not signed and/or signed status.

Can I access my files from home?
Yes. MedAxis, allows you to access your files from any computer with internet connection. Validated security access control via login password entry. Users may listen to their dictation, or view their written transcription.

What is HIPAA?
Congress passed the Health Insurance Portability and Accountability Act (HIPAA) defining regulations to protect the security and confidentiality of electronic health information. Clinics, doctors, hospitals, and insurance companies must meet compliance by April 14, 2003 or face severe civil and criminal penalties. More information can be found on our HIPAA Page.

Do you comply with HIPAA regulations?
MedAxis meets all current HIPAA regulations. MedAxis, actively monitors new HIPAA regulations that are in review and development.

What are your hours of operation?
The MedAxis system offers 24 hour/day - 7 day/week - 365 day/year coverage with better than a 99% response time.

How many simultaneous users can your system process?
MedAxis has the ability to expand our data capacity to serve an unlimited number of users at any given time.

What is your company's policy for handling client concerns?
MedAxis takes quality customer service very seriously. We provide the real-time response and support. If any issues or concerns arises, we can be notified through our centralized toll-free customer support number, which is answered 24/7 or via e-mail. Once we are informed of the problem, whether it is technical in nature or involves transcription production, we will take the necessary steps to quickly reach a solution and resolve the issue.
